Ringelle ("Ringelle," "we," "us") provides an AI phone receptionist service to small businesses. This policy explains what information we collect, why, and how it's handled — both for the business owners who use Ringelle's dashboard, and for the callers who reach a business through it.

Information we collect

From business owners: your name and email (via our authentication provider), and whatever you enter to configure your AI receptionist — business details, hours, services, pricing, policies, and any documents or links you provide so it can answer callers accurately.

From callers: when someone calls a business using Ringelle, we record the call transcript, and — if they choose to book an appointment — their name, callback number, service address, and appointment details. If a caller consents on the call to receive a text message, we also send an SMS confirmation and reminder to that number.

If a business connects a calendar, we read upcoming event times to help the AI avoid double-booking — we don't store the full contents of unrelated events, only what's needed to check availability.

How we use it

We use this information to operate the service: answering calls, holding a conversation relevant to the business a caller reached, booking appointments, sending the text messages a caller explicitly agreed to, and showing business owners their own call and appointment history on their dashboard.

Who we share it with

We use a small number of service providers to run Ringelle, each processing data only to provide their part of the service: a telephony provider to place and receive calls and texts, an AI provider to generate the receptionist's responses, an authentication provider for dashboard sign-in, and hosting/database providers to run the app and store data.

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.

Text messages

A caller only receives text messages from a Ringelle-powered business if they said yes when explicitly asked on the call. Message frequency depends on activity — typically a confirmation once an appointment is booked, and a reminder on the day of the appointment. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for help. See our Terms of Service for full messaging terms.

Data retention

We keep call transcripts and appointment records for as long as a business account is active, so owners can refer back to their own call history. A business owner can delete a business from their dashboard at any time.
